This Privacy Policy explains how MonitoHQ ("we", "us") handles information in connection with our website at monitohq.com and the demo-booking feature offered on it. MonitoHQ is a clinical-operations software platform; this policy covers the public marketing website and its booking widget, not the separate customer-facing product (which is governed by its own agreements).
1. Information we collect
- Demo booking details. When you request a demo through the booking calendar, we collect the name, company, email address, telephone number and the time slot you choose.
- Technical data. Standard server logs (IP address, browser type, timestamps) generated by our hosting provider for security and reliability.
2. How we use it
- To schedule and confirm your demo, create the corresponding calendar event, and send you a calendar invitation (which may include a video-conference link).
- To contact you about the demo you requested.
- To operate, secure and improve the website.
3. Google Calendar access
To offer real-time availability and create your booking, our booking service connects to a Google Calendar belonging to MonitoHQ using Google's official APIs. Specifically, the service:
- reads free/busy information (busy time ranges only — never the content, titles or attendees of existing events) to show which slots are open; and
- creates a single calendar event for your booking and adds you as a guest so you receive an invitation.
4. Sharing
We do not sell your personal data. We share it only with:
- Google (Google Calendar), to create your booking and send the invitation;
- our hosting and email providers, acting on our behalf to run the website and deliver messages;
- authorities where required by law.
5. Retention
Booking details are retained for as long as needed to arrange and follow up on your demo, and thereafter for a reasonable period for record-keeping, after which they are deleted or anonymised. You may ask us to delete your data at any time (see Contact).
6. Your rights
Depending on your location (including under the EU/UK GDPR), you may have the right to access, correct, delete, or restrict the processing of your personal data, and to object to it or request portability. To exercise any of these rights, contact us at the address below.
7. Security
We use appropriate technical and organisational measures to protect your data. Credentials used to access Google services are stored as encrypted server-side secrets and are never exposed in the website's code.
8. Changes
We may update this policy from time to time. The "Last updated" date above reflects the latest version.
